Serve as one of three Allodium Client Service Associates (CSAs), providing exceptionally friendly, helpful, high-quality & responsive service to our clients to maximize their satisfaction & earn their trust, confidence & referrals to other prospective clients.
1) Client Service – (75%):
Deliver exceptional service to assigned current clients, & serve as back up CSA for other clients:
Independently & professionally handle client requests & client account maintenance activities for existing clients.
Help schedule & prepare for client portfolio review meetings.
Help ensure our main phone line is always covered by a live person during Allodium business hours.
Pleasantly greet clients who visit our office.
Bind & assist with mailing quarterly performance reports & annual review documents, as needed.
Review daily client account transactions for accuracy and verify deposits and other funds for investing.
Serve as securities trader for clients, as requested.
Set up, monitor & complete assigned client service cases by designated target dates.
Ensure that client-related data is accurately maintained in client relationship management (CRM) system.
Actively serve on Client Service Committee & other relevant committees based on duties & interests.
Independently manage and/or assist with client-service related projects, as needed.
2) New Client Onboarding – (15%):
Assist with process used to add & orient new clients to Allodium:
Inform firm of potential prospective clients when applicable. (Bonus is available for this activity.)
Help investment consultants with client onboarding activities & with setting up new client accounts.
Assist with financial planning & proposal preparation activities, as needed.
Help schedule & prepare for client onboarding meetings.
Pleasantly greet prospective clients to set a positive impression of our firm.
Ensure that new client-related data is accurately set up in CRM system.
Independently manage and/or assist with client-onboarding or financial-planning related projects, as needed.
3) Operations & Other – (10%):
Lead or assist with a variety of operational tasks to help firm honor our regulatory obligations & operate efficiently:
Assist with compliance-related activities, as needed.
Prepare client-related documents for scanning, & assist with scanning documents for future reference, as needed.
Help maintain professional & well organized office environment to leave a positive impression with our visitors.
BA or BS degree, ideally in business or related field.
3+ years of client service experience with demonstrated client-service orientation & excellence.
Ability to reliably work full-time Monday–Friday in our downtown Minneapolis office.
Pleasant, professional & friendly manner with excellent interpersonal skills with clients & peers.
Strong team player.
Highly organized with proven attention to detail.
Demonstrated reliability & punctuality.
Demonstrated flexibility, versatility & ability to simultaneously juggle multiple priorities & projects.
Proven analytical & independent problem-solving skills.
Highly proficient with Microsoft Office & other office software & comfortable learning new technology tools.
Highly proficient with office technology like computers, copiers, printers, fax machines, scanners etc.
Unquestionable personal & business ethics & integrity.
Excellent written & verbal communication skills.
Other Preferred Qualifications:
5+ years of client service experience in professional office environment, ideally in the financial services industry.
Paraplanner or financial-planning experience & familiar with financial planning software.
Experience with following (or similar) websites & software: Schwab Institutional (custodian), Black Diamond (reporting), Salesforce (CRM), and Laserfiche (file management).
Independent project management experience.
