We are looking for a reliable, personable and detail-oriented individual to join our team and assist our busy practice in handling a variety of daily administrative operations. The position provides a wide variety of support, technical, and managerial functions for advisors and associates, thus making a significant contribution to the success of the practice. Individuals in this role manage the people, processes, and systems which comprise the “back office” operations. They assure that all financial planning and implementation details are appropriately delegated and completed on schedule, and that a professional practice is maintained.
Our Client Service Representative fulfills a key role within our practice by delivering exceptional service to our clients, supporting the firm’s Financial Advisors and Financial Associates, and assisting with identifying opportunities for growth and business development. This role includes processing client account servicing requests and creating a positive client experience through high quality support and communication.

Key Responsibilities
Manage Client Review Process
Schedule and confirm client review meetings
Ensure calendar and meeting tracking sheet is up-to-date and accurate
Create review meeting materials and portfolios based on attached process outline
Assist with Prospecting New Business
Identify opportunities for potential future sales
Prepare material for prospective clients
Open New and Service Existing Accounts
Review paperwork for completeness and accuracy to help ensure in-good-order processing
Process transfer of assets and other account servicing requests for client accounts
General customer service requests
Calculate and monitor Required Minimum Distributions and account trades
Resolve any outstanding paperwork issues or discrepancies
Leverage External Relationships
Communicate with and assist accountants and attorneys with client authorization in relation to estate planning, business planning, cost basis calculations, tax documents, account details and transactions, death claims, etc.
Attend networking, wholesaler meetings, sales conferences, and business development functions as directed
Oversee Essential Internal Processes
Ensure advisors, associates, and clients are given timely and accurate support on all servicing and sales items
Maintain Rep and Firm Insurance and Securities Registration and Licenses
Handle confidential material with discretion
Update the firms Daily Tracking Report
Complete and track new hire / intern paperwork and action items
Education, Skills, and Experience
Minimum of an Associate Degree
Proficient in Microsoft Office, Excel, and PowerPoint
Analytical and interpersonal skills
Strong oral and written communication skills
Ability to prioritize and manage competing priorities
Strong interpersonal, problem solving, and teamwork skills
Ability to work independently with minimal supervision
Highly organized, proactive and a self-motivated
