The Administrative Analyst performs a wide variety of administrative tasks for ITS. The work performed is fast-paced and time sensitive. Work involves making independent decisions on problems encountered within a delegated scope of activity and with personal responsibility for the effect of such decisions on operations. This position reports to the ITS Administrative Services Division Chief. <br /><br /><strong>The Opportunity </strong><br />The Administrative Analyst provides staff assistance functions by performing routine but responsible administrative work. The incumbent performs staff services for the department using independent decision-making in researching, analyzing and preparing statistical, financial, fiscal and personnel reports, procedures or studies.<br /> <ul> <li>Assists persons requesting service in person or by phone; <li>Summarizes and prepares analysis of departmental activities; <li>Prepares reports, forms and procedures for reports; <li>Processes departmental invoices for payment, ensuring accuracy; <li>Enters Employee Expense reimbursement requests, ensuring accuracy of supporting documents; <li>Procures routine supplies and equipment for staff in all ITS divisions; <li>Makes recommendations regarding office space management; <li>Reports problems and follows through; <li>Provides staff support including scheduling meetings and room reservations; <li>Maintains CIO's travel calendar and makes appropriate reservations as required; <li>Performs other work-related duties as assigned.</li></li></li></li></li></li></li></li></li></li></li></ul> <br /><br /><strong>The Ideal Candidate</strong><br />To be minimally qualified all applicants must have completed of college-level courses in English, report writing, arithmetic, and bookkeeping; and at least three years of experience in performing responsible clerical or technical work some of which involved work performed at a level equivalent to Administrative Support IV (GS-10); or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.<br /><br />To be considered an ideal candidate applicants must possess all the above as well as at least two years of college or any equivalent combination of experience in performing responsible clerical, accounting, or technical work. Thorough knowledge of office management procedures and office equipment; ability to maintain financial and statistical records; ability to make mathematical computations quickly and accurately; ability to properly interpret and make decisions in conformance with City, State and Federal codes, laws, and procedures; ability to communicate effectively, both verbally and in writing; ability to make decisions and to exercise resourcefulness in meeting new problems.<br /><br /><strong>About the Department</strong><br />The Information Technology Services Department (ITS) is responsible for enterprise technology operations for the City of Alexandria. ITS provides technology services and solutions to City departments to enhance service delivery. ITS aligns its work with City needs by providing leadership, resources, expertise, and products that enable departments to better serve the City's residents, businesses, and visitors. ITS resources support initiatives funded through the multi-year Information Technology Capital Improvement Plan (IT/CIP) to improve the overall technology landscape.
